Privacy notice
This notice explains how ResumeTailor collects, uses, shares, and retains personal information through our website, resume-tailoring service, and communications with you.
1. Introduction
ResumeTailor is responsible for the personal information described in this notice. References to "we", "us", and "our" mean ResumeTailor. This notice applies when you browse resumetailor.chat, create an account, run a tailoring workflow, buy a plan, or contact support. Our Terms of service explain the rules for using the service.
2. Information we collect
- Account information, including your name, email address, profile image, authentication provider, and account identifiers.
- Content you provide, including resumes, job descriptions, professional profiles, instructions, feedback, and files you upload.
- Content created while you use the service, including prompts, model responses, resume drafts, reviews, document versions, and exported files.
- Billing and usage information, including your plan, orders, subscriptions, credits, usage records, and Polar customer identifiers. ResumeTailor does not receive or store your full payment-card details.
- Technical information, including IP address, browser and device information, page views, product events, errors, request identifiers, and service logs.
- Support correspondence, including the email address, issue descriptions, attachments, and other information you choose to send us.
A resume may contain sensitive or private information. Only include information that is needed for the document you want us to process.
We receive account details from your sign-in provider and subscription and payment updates from Polar. We associate these with your ResumeTailor account so that sign-in, billing, and credit balances work together. We do not receive your Google or GitHub password.
3. How we use information
We use personal information to:
- create and secure your account;
- tailor, review, save, and export resumes;
- operate subscriptions, credits, usage limits, and customer support;
- send account, billing, security, and service updates;
- diagnose failures, prevent abuse, and protect the service; and
- understand which parts of ResumeTailor are used and improve them.
We process this information to provide the service you requested, comply with legal obligations, and pursue legitimate interests such as security, support, and product improvement. Where the law requires consent, you may withdraw it at any time.
Providing document content is your choice, but we cannot tailor a resume without the information needed for that run. Closing an account or restricting information needed for authentication or billing may prevent us from continuing to provide those features.
4. AI processing and workflow records
ResumeTailor sends the instructions and document content needed for a tailoring run to OpenRouter. OpenRouter routes those requests to the model providers selected by the service. Those companies process the submitted content to generate responses. Do not submit information that you are not permitted to share with these providers.
A tailoring run can include several model calls. A reviewer may receive a writer's draft, and a revision may include your earlier instructions and feedback. We store workflow records so you can revisit drafts and so we can investigate errors and credit usage.
Model providers have different rules for logging, retention, and training. Processing depends on the provider used and the applicable routing settings. See OpenRouter's provider data policies for details. This notice does not promise that every model provider retains no data.
5. How we share information
We disclose information to service providers when needed to run the service:
- Clerk, Google, and GitHub for authentication and account management;
- Convex for application data, files, server functions, and workflow records;
- OpenRouter and routed model providers for AI processing;
- Vercel for website hosting, server functions, and operational logs;
- Railway for document rendering, including PDF conversion using Gotenberg software;
- PostHog for product analytics, AI diagnostics, performance information, and errors; and
- Polar and its payment providers for checkout, billing, tax, and customer portals.
We may disclose information to professional advisers, to respond to legal requirements, to investigate abuse, or during a transfer of the business. Such disclosures must serve the relevant purpose and remain subject to applicable privacy obligations. We do not sell your resume or job-application content.
When you follow a link to an external website, including a sign-in provider or Polar checkout, that service's privacy notice also applies to information it collects directly. Our use of a provider does not make this notice its privacy policy.
6. Cookies, analytics, and logs
We use cookies and browser storage for sign-in sessions, preferences, saved form drafts, and analytics. Your browser lets you clear or block this storage. Blocking it can affect sign-in and other features.
PostHog records page views, performance measurements, product events, and account identifiers configured by ResumeTailor. AI diagnostics sent to PostHog may also contain model inputs and outputs, including document content included in those calls. Service logs and stored workflow records help us inspect requests, responses, errors, and usage. We use these records for operations and debugging, not advertising.
7. International processing
ResumeTailor uses service providers in multiple countries. Your information may be stored or processed outside the country where you live, where data-protection laws may differ. International transfers remain subject to applicable legal requirements, including any required contractual safeguards or other lawful transfer mechanism.
8. How long we keep information
We keep account and workflow information while your account is active and for as long as it is reasonably needed to provide the service. We may retain transaction, security, dispute, and audit records when required for legitimate business or legal purposes. Our providers may retain backups for a limited period under their own deletion schedules.
You can request account deletion by emailing support@resumetailor.chat. We will delete or anonymise information that we no longer need, except where we must retain it for a legal, security, fraud-prevention, or dispute-handling reason.
9. Your choices and rights
You may ask to access, correct, or delete your personal information. You may also object to certain processing or ask for a portable copy where applicable. Email support@resumetailor.chat from the address associated with your account. We may ask for information needed to verify the request.
Depending on applicable law, you may also request a restriction on processing, withdraw consent, or lodge a complaint with the data-protection authority responsible for your location. Withdrawing consent does not affect processing that was lawful before withdrawal. We will explain if an applicable exception prevents us from fulfilling a request in full.
10. Security
We use access controls, separate production credentials, authenticated service calls, and managed infrastructure to protect information. No online service can promise absolute security. Contact us promptly if you believe your account or information has been compromised.
11. Changes to this notice
We may update this notice when the service or our legal obligations change. We will post the revised notice here and change the effective date. We will give additional notice when required by law.
